Collection Notice for Maths Camps 2026
The University of Melbourne/Australian Mathematical Sciences Institute (AMSI)(ABN: 84 002 705 224) collects personal information on behalf of the Victorian Department of Education (the department) to facilitate student participation in Maths Camps.
The purpose of collecting this information is to enable AMSI and their contracted partners, Mathematical Association Victoria and the Y to provide a safe and inclusive camp experience for participants and for the department conduct program evaluation activities.
The information collected through the registration process includes, but is not limited to:
- Student first name and surname
- Current school name
- Year level
As AMSI collects and handles your personal, sensitive and health information on behalf of the department, your information will be handled by the department in accordance with this consent, the department’s policies regarding privacy and records or where otherwise authorised or permitted by law.
AMSI will hold the personal information you provided until the Victorian Maths Camps program is complete at the end of 2028. After this period, it will be securely destroyed in compliance with the University’s retention and disposal authority.
AMSI and the University of Melbourne will collect your personal information for the purposes of communication and information distribution via Campaign Monitor. Personal information is subject to their privacy notice and terms of use.
Campaign Monitor records your IP address and uses cookies, web beacons, local storage and session storage. They collect this information when you access our email communications. They use this information for the purpose of providing this subscription service, and to measure its performance.
Campaign Monitor may transfer this information to its contractors or other third parties, but only if they process information on Campaign Monitor’s behalf, or where otherwise required to do so by law.
Campaign Monitor is a multinational entity. They will transmit and store your information on servers located outside of Australia. The Privacy Act 1988 may not protect the information they collect. You may not be able to seek redress under it.
Only the applicant’s name and email address, and the parent/carer’s email address is recorded by Campaign Monitor. All other personal information and all sensitive and health information detailed below will be stored in Australia on UoM’s SharePoint.

AMSI may disclose the personal information (including health and sensitive information) collected with the following organisations, and where otherwise permitted by law. The following information will be deidentified and consolidated for each camp cohort by AMSI before disclosure to the following organisations. Any information shared with the department will be handled in accordance with the department’s Information Privacy Policy: vic.gov.au/department-of-education-privacy-policy.

The following information will be deidentified and consolidated across multiple camp cohorts by AMSI before disclosure to the following organisations. Any information shared with the department will be handled in accordance with the department’s Information Privacy Policy: vic.gov.au/department-of-education-privacy-policy. The information provided may be used in reporting within the department about Victorian Maths Camps. Information used in department reporting will be aggregated and will not identify your child.
Deidentified data may be shared with external organisations for the purposes of evaluating the program. Data will be deidentified by removing student names and provided in aggregate form.
Information provided to the department will be stored securely in the department’s systems, with access restricted to those administering the Victorian Maths Camps program and staff that need to provide required technical system assistance and any staff that need to know in accordance with the department’s privacy policy.

If all requested information is not provided, the student may not be able to participate in the fully-funded residential Maths Camp.
If registration for participation is withdrawn, the information provided will be retained in accordance with our records management obligations and applicable retention requirements. Information will not be used for any further purpose once a registration is withdrawn.

Your rights
You may request access to, or correction of, your personal information we hold, or exercise your individual rights as applicable under relevant privacy laws, unless this would have an unreasonable impact on the privacy of others or would contravene the University’s other legislative obligations. If the lawful collection of your personal information is based on your consent, you have the right to withdraw your consent at any time. However, this will not affect the lawfulness of our processing of your information prior to you withdrawing your consent.
